How we collect, use, share and protect personal information submitted through this website.
Last updated: August 3rd, 2026
1. Who we are
This website is operated by Ontario Window Replacement, located at 1338 Wellington St. W, Ottawa, ON K1Y 3B7 (“we”, “us”).
We operate an online lead-generation and homeowner inquiry platform. We are not a window manufacturer, installer, contractor, government agency, utility, rebate administrator or financing provider.
2. Information we collect
- Information you provide: name, email address, telephone number, property address or postal code, property type, ownership status, project details (number of windows, window types, timeline, decision-maker status) and any message content you send us.
- Consent records: the consent checkboxes you selected, the wording shown to you, and the date and time of submission.
- Technical information: IP address, browser and device type, pages viewed, referring URL, and campaign parameters (such as UTM values) where present.
3. How we use information
- To review and process your request for information.
- To connect you with one or more participating window contractors or service providers where coverage may be available.
- To respond to questions, support requests and privacy inquiries.
- To maintain records of consent, to detect fraud or misuse, and to improve the website.
- To comply with applicable legal and regulatory obligations.
4. Consent
We collect personal information with your knowledge and consent. Express consent is obtained through the checkboxes presented on our forms, including separate consent for contact by telephone, SMS and automated or pre-recorded messages where applicable, and separate optional consent for marketing communications.
You may withdraw consent at any time, subject to legal or contractual restrictions and reasonable notice. To withdraw consent, contact us using the details in Section 12. Withdrawing consent may limit our ability to process your request.
5. Sharing with third parties
When you submit a request, your information may be shared with one or more independent third-party window contractors, installers, dealers or service providers, and with service partners that help us operate the platform (such as hosting providers, form and CRM software, communications services and analytics providers).
Once your information is shared with an independent third-party provider, that provider handles your information under its own privacy practices and is responsible for its own compliance. We do not control their practices and recommend reviewing their privacy policies directly.
We may also disclose information where required or permitted by law, in response to lawful requests by public authorities, or in connection with a business transaction such as a merger or sale of assets.
6. Cookies and tracking technologies
We use strictly necessary cookies to operate the website, and — only with your consent — analytics and advertising cookies or similar technologies to understand website use and measure campaign performance. You can accept, reject or customize non-essential cookies through the cookie banner and can change your choice at any time from the cookie preferences link in the footer.
7. Retention
We retain personal information only as long as reasonably necessary for the purposes described in this policy, including maintaining consent and compliance records, and for the period required by applicable law. Retention period: 180 days.
8. Safeguards
We use administrative, technical and physical safeguards appropriate to the sensitivity of the information, including encryption in transit and access controls. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
9. Your privacy rights
Subject to applicable law, including Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA), you may request access to the personal information we hold about you, request correction of inaccurate information, withdraw consent, ask questions about our practices, or make a complaint. We will respond within the timeframes required by applicable law.
If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada.
10. Anti-spam (CASL)
Commercial electronic messages we send include sender identification and an unsubscribe mechanism. You may unsubscribe at any time using the link in the message or by contacting us. Unsubscribing from marketing messages does not prevent transactional messages related to a request you have made.
11. Children
This website is intended for adults. We do not knowingly collect personal information from individuals under the age of majority in their province of residence.
12. Contact us
Privacy questions, access requests and consent withdrawals can be sent to our privacy contact at info@ontariowindowsreplacement.com, by telephone at (613) 519-0200, or by mail at 1338 Wellington St. W, Ottawa, ON K1Y 3B7. You can also use our contact form.
13. Changes to this policy
We may update this policy from time to time. The “last updated” date above reflects the most recent revision. Material changes will be posted on this page.
